Privacy Policy

1. Who we are

InspectionVoice (“InspectionVoice,” “we,” “us”) provides a voice-driven inspection-reporting platform for building inspectors and inspection firms, available on the web and as native iOS and Android apps. This policy explains what personal information we handle and your choices. It applies to the InspectionVoice apps and inspectionvoice.com.

2. Information we collect

  • Account & firm data — your name, work email, password (hashed), firm name, and professional license details you choose to provide.
  • Field evidence you create — voice recordings, the transcripts and reports generated from them, photos you capture or attach, plan documents you upload, and notes.
  • Optional location — approximate coordinates attached to a photo as evidence metadata, only when your device permits it. Denying location never blocks capture.
  • Billing data — handled by our payment processor (Stripe). We store a customer/subscription identifier and status, not your full card number.
  • Usage & diagnostics — limited logs and error/diagnostic data to keep the service reliable and secure.

3. How we use information

  • To provide the core service: transcribe voice notes, generate and store inspection reports, and manage photo and plan evidence.
  • To authenticate you, provision your firm, and operate scheduling, reviewer, and delivery workflows.
  • To process subscriptions, trials, and payments.
  • To secure the platform, prevent abuse, debug issues, and meet legal obligations.

4. AI processing

Voice transcription and report drafting use third-party AI providers (OpenAI Whisper for transcription and Anthropic Claude for drafting), called under zero-retention, no-training terms. Your firm’s audio, transcripts, and reports are never used to train shared models. AI output is a draft to assist a qualified inspector and does not replace professional judgment.

5. How we share information

We do not sell personal information and do not use it for cross-app advertising or tracking. We share data only with service providers who process it on our behalf under contract: hosting and database (Supabase), payments (Stripe), transactional email (Resend), AI processing (OpenAI, Anthropic), and error monitoring (Sentry). We may disclose information if required by law or to protect rights and safety. Within your firm, your work is visible to authorized members of your organization (e.g. reviewers and admins).

6. Data retention

We retain inspection content for as long as your firm’s account is active or as needed to provide the service. Audit records are kept on a multi-year retention schedule. When you delete content or close your account, we delete or de-identify associated personal data within a commercially reasonable period, except where retention is legally required.

7. Security

Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Access is role-scoped and tenant-isolated, and signing-certificate passwords and integration tokens are encrypted. See our Security page for more detail. No method of transmission or storage is 100% secure.

8. Your rights & choices

You may access, correct, export, or delete your personal information. Account holders can request deletion of their account and associated personal data by emailing privacy@inspectionvoice.com; firm administrators can also remove users and content from within the app. Depending on your location you may have additional rights (e.g. under GDPR or CCPA), including the right to object to or restrict certain processing.

9. Account & data deletion

To delete your account and personal data, email privacy@inspectionvoice.com from your account address, or contact your firm administrator. We will confirm and complete deletion within a commercially reasonable period, subject to legal retention requirements.

10. Children

The service is for business use by professionals and is not directed to children under 16. We do not knowingly collect data from children.

11. International users

InspectionVoice is operated from the United States and data is primarily stored in the U.S. By using the service you understand your information may be processed in the U.S.

12. Changes

We may update this policy from time to time. Material changes will be reflected by updating the date above and, where appropriate, by notice in the app.
